How to Cancel a Water Service Contract

Ending an industrial water service agreement takes more than sending a cancellation request. Review the contract, plan around notice and renewal dates, and coordinate any equipment handoff before changing providers. Contract terms differ, so use your signed agreement as the source of truth.

1. Review the agreement and key dates

Locate the cancellation, renewal, notice, price-adjustment, and early-termination sections. Check how notice must be delivered, when the current term ends, and whether any fees or outstanding balances apply. If a clause is unclear or disputed, consider getting legal advice before acting.

2. Confirm equipment and site responsibilities

List any tanks, vessels, controls, or other equipment supplied under the agreement. Confirm who owns each item, what condition it must be returned in, who disconnects it, and how pickup or removal will be scheduled. Keep a record of the equipment and its condition at handoff.

3. Plan the service transition

Before ending deliveries, coordinate the replacement service, installation or exchange schedule, water-quality requirements, and contingency plan with the people responsible for operations. Avoid a gap in service that could affect production, laboratory work, or other critical processes.

4. Send and document your notice

Follow the notice method and timing specified in your agreement. Identify the account and requested end date, retain a copy of the notice, and keep a record showing that you have communicated to the previous provider in writing and met your obligations under the agreement. You can also state in the notice that their equipment is located at your dock and is available for pickup immediately. It is common not to receive any response from your previous supplier, so we recommend installing new tanks immediately after giving notice.

5. Reconcile the final account

Review the final invoice against the agreement and confirm that scheduled pickups, equipment returns, and account closure are complete. Keep the contract, notices, delivery records, invoices, and written confirmations together for your records.

Comparing the full cost of your current agreement can help you evaluate alternatives. See our guide to hidden costs in water service contracts or contact Eclipse Water Technologies to discuss a local service option.
